Technical Assistance Form

Form Overview

On the Technical Assistance form, the grantee provides details on targeted support activities that build skills or capacities and increase knowledge, with the intention to address organizational needs or accelerate programmatic outcomes. The form will display as “Technical Assistance” under the ‘Activity Forms’ section on the left menu.

Technical Assistance During Reporting Period

In this section, the grantee must answer the following question:

During the reporting period, did your program provide technical assistance (TA)?

  • The grantee must answer Yes (complete Part A and Part B) or No.
  • If the grantee selects Yes (complete Part A and Part B), then both Part A and Part B will be enabled for grantee to enter data.
  • If the grantee selects No, then both Part A and B will be disabled, and grantee must click on Save and Continue and move to the next form.
  • This is a required question, and a validation will display above the options: Please provide a response for this field.

Part A. Technical Assistance

In this section, the grantee provides information on Technical Assistance (TA) that includes a range of targeted support activities that build skills or capacities and increase knowledge, with the intention to address organizational needs or accelerate programmatic outcomes by answering the following questions;

This is a required section if the grantee has answers Yes to the question under Technical Assistance During Reporting Period section.

Subject area(s) of your most significant TA activities in the reporting period

  • In this question, the grantee must select one or more options from the checkboxes that are closest to the subject areas of their most significant TA activities during the reporting period.
  • If the specific subject area of the grantee’s TA is not listed, they should select the subject area closest to their topic area. If none of the subject areas are close to their subject area, the grantee should select None of the above. Refer to the detail sheet at top of the form for definitions. If the grantee selects None of the above then they will not be able to select any other checkboxes.
  • This is a required question if the grantee answers Yes (complete Part A and Part B) in the question under Technical Assistance During Reporting Period
  • The grantee must select at least one of the following options:

The Emerging Issues Description field accepts text, numbers, and special characters (not to exceed 1,000 characters).

NOTE: The subject area(s) and topic area(s) of the most significant TA activities in the reporting period refer to TA activities that are key contributors to the work and purpose of the grantee.  

Topics of your most significant TA activities in the reporting period

  • In this question, the grantee must select one or more options from the checkboxes that list the topic of the most significant TA activities during the reporting period.
  • If the specific topic area of the grantee’s TA is not listed, they should select the topic area closest to their topic area. If none of the topic areas are close to their topic area, the grantee should select None of the above. Refer to Detail Sheet at the top of the form for definitions of topic areas. If the grantee selects None of the above, then they will not be able to select any other checkboxes.

  • The grantee will be able to view the following instruction when the mouse is hovered over the info icon next to the question text:

You may select a subtopic without also selecting the corresponding general topic. For example, you may select “Early Childhood - Newborn Screening” without selecting “Early Childhood - General”. In addition, you may select only the general topic if none of the subtopics apply.

Number of TA activities, recipients, and organizations assisted in the reporting period

In this section, the grantee provides the number of TA activities, recipients, and organization assisted in the reporting period.

Total number of TA activities

  • This is a required question and the grantee must enter the total number of TA activities provided during the reporting period if Yes (complete Part A and Part B) is answered in question under Technical Assistance During Reporting Period
  • The following validation will display: Enter an integer: 0 - 999,999.

Total number of TA recipients

  • This is a required question and the grantee must enter the total number of TA recipients during the reporting period if Yes (complete Part A and Part B) is answered to the question under Technical Assistance During Reporting Period This number may be duplicated (i.e., a recipient participates in more than one TA activity and is counted more than once), though an unduplicated count is encouraged if possible.
  • The following validation will display: Enter an integer: 0 - 999,999.

Total number of organizations assisted

  • The grantee may enter the total number of organizations assisted during the reporting period. If there were multiple TA recipients from one organization, the organization should only be counted once. This should be an unduplicated count.
  • This is an optional question, and the field accepts integer values between 0-999,999.

Number of TA activities in the reporting period, by target audience

In this section, the grantee provides the number of TA activities during the reporting period to each target audience.

  • The following note will display under the section header:
    • Enter the number of TA activities provided during the reporting period to each target audience. Complete for applicable target audiences. TA activities should be counted at the level of the organization. For examples and definitions, refer to the Detail Sheet. The total number of activities in this table may sum to more than the reported total number of TA activities in the previous section, as multiple audiences may participate in the same TA activity.
  • The target audience table will be required if the grantee answers Yes (complete Part A and Part B) in the question under Technical Assistance During Reporting Period
  • The numeric fields will accept values between 0-999,999 and a validation will display: Enter an integer: 0 – 999,999.

NOTE: Other Target Audience: Description will be required if grantee has entered a value greater than 0 in the Other field and a validation will display: Provide a description for "Other Target Audience. Other Target Audience: Description accepts text, numbers, and special characters (not to exceed 1,000 characters).

  • The Total field is an auto-calculated field and calculates the sum of values entered for all target audiences.
    • The Total field must be equal to or greater than the number reported in Total Number of TA Activities field under Number of TA activities, recipients, and organizations assisted in the reporting period.

The total number of activities should be equal  or greater than the number reported in Total Number of TA Activities above (537).

NOTE: The above value (537) is based on the sample counts used in the screenshot below. This total value is for illustrative purposes only, and will differ in the system depending on the values submitted by the grantee.

Number of TA activities in the reporting period, by TA method

In this section, the grantee may provide a number of TA activities during the reporting period by TA method.

  • This is a required section if grantee answers Yes (complete Part A and Part B) in question under Technical Assistance During Reporting Period section and a validation will display above each field: Enter an integer: 0 – 999,999.
  • The Total field is an auto-calculated field and calculates the sum of values entered for all TA methods.
    • The Total field must be equal to the number reported in Total Number of TA Activities field under Number of TA activities, recipients, and organizations assisted in the reporting period.

The total number of activities should be equal to the number reported in Total Number of TA Activities above (537).

NOTE: The above value (537) is based on the sample counts used in the screenshot below. This total value is for illustrative purposes only, and will differ in the system depending on the values submitted by the grantee.

NOTE: For Group consultation or training (for example, workshops, continuing education courses, etc.) continuing education courses should only be included if the goal of the course(s) is to build organizational capacity. Do not include continuing education courses if the goal of the course(s) is to increase knowledge or capacity among individuals.

Part B. Satisfaction with TA

In this section, the grantee provides information on TA participant satisfaction during the reporting period.

This is a required section if the grantee answers Yes (complete Part A and Part B) in the question under Technical Assistance During Reporting Period section and a validation will display: Please provide a response for this field.

  • If the grantee answers Yes, then the section Number/percent of TA recipients who reported they were satisfied will be enabled for data entry.
  • If the grantee answers No, then the section Number/percent of TA recipients who reported they were satisfied will remain disabled.

Number/percent of TA recipients who reported they were satisfied

In this section, the grantee provides the number of recipients reporting that they were satisfied with TA and the total number of TA participants asked about satisfaction that provided a response.

  • This is a required question if the grantee answers Yes in the question Did you collect data regarding recipient satisfaction with TA in the reporting period? under Part Satisfaction with TA section and a validation will display: Enter an integer: 1 – 999,999.
  • This field will accept integer values between 1 - 999,999.

 Number of TA recipients who reported they were satisfied with TA provided, in the reporting period (Numerator)

  • This is a required question if the grantee answers Yes in the question Did you collect data regarding recipient satisfaction with TA in the reporting period? under Part Satisfaction with TA section and a validation will display: Enter an integer: 0 – 999,999.
  • This field will accept integer values between 0 - 999,999.
  • If Numerator value is greater than the Denominator value, then a validation will display on top of the Numerator as: Numerator must be less than or equal to Denominator.

Percent satisfied (auto–calculated)

  • This is an auto-calculated field and will be calculated as follows:
    • (Number of TA recipients who reported they were satisfied with TA provided, in the reporting period) / (Number of TA recipients asked about satisfaction who provided a response, in the reporting period) * 100
  • If Numerator is equal to 0 then percentage calculation will be 0.

NOTE: Click Save to ensure the information is not lost due to inactivity on the form.

Comments

In this section, the grantee can enter additional information (not to exceed 5,000 characters). The Comments field accepts text, numbers, and special characters.

The grantee must click on Save or Save and Continue buttons before navigating away from this form to ensure all data entered is saved successfully.
  • The Save button will save the validated information captured in the form and grantee will remain on the same form.
  • The Save and Continue button will save the validated information and grantee will navigate to the next form.

The Go to Previous Page button will navigate to the previous form without saving any previously unsaved information.

Form-Level Rules and Validations

  • For New Competing Performance Reports (NCPRs), this form is not applicable.
  • For Non-Competing Continuation Performance Reports (NCCPRs) and Project Period End Reports (PPERs), the grantee must provide data based on the Yes/No selection in question under Technical Assistance During Reporting Period
  • Part Technical Assistance and Part B. Satisfaction with TA will be enabled for data entry only if grantee answers Yes (complete Part A and Part B) in the question under Technical Assistance During Reporting Period section.
  • Data checks and validations for all integer fields.
    • Accepts integer values only.
    • Accepts a maximum of six digits.
    • Does not accept decimal values.
    • Does not accept any text values.
  • If the grantee selects Emerging Issues (Provide description below) under Technical Assistance, then Emerging Issues Description field is required.
  • If the grantee has entered value for Other under Number of TA activities in the reporting period, by target audience section, then the Other Target Audience: Description field is required.
  • Data checks and validations for all the description fields such as Other Description:
    • Fields accept text, numbers, and special characters.
    • Fields accept a maximum of 1,000 characters.
The Comments text box will accept text, numbers, and special characters (not to exceed 5,000 characters).
