Scope verification is a "Term" or "Condition" that appears on your Notice of Award(NoA). As with any other Terms and Conditions, this "Term" or "Condition" has to be met by the grantee in order to comply with the grant requirements.
If the verification is not completed by the deadline due to inactivity by grantee or verification indicating the proposed action can not happen for various reasons, the Proposed action would be rolled back/undone. for Example: A Change in Scope request to add site, when failed to verify would not be added to the scope.
When a NoA has been issued to the grantee which contains this "Term" or "Condition" a grant deliverable is created for the grantee to act upon. This deliverable could be found in "Other Submissions" page of the submission module. The submission would have an expiration date of 120 calendar days from the NoA issue date. The grantee can start working on it by clicking "Start Submission Link" on the deliverable.
Yes, You can request extension(s). Although the number of requests is not limited, the no of days in extension should not exceed a total of 90 days.
An extension can be requested by entering an estimated date for completion. If it is greater than the expiration date, the system will calculate the number of days of extension and provide an option to submit the extension to HRSA.
The time it is with BPHC would be removed from the total time for that deliverable. it would not be counted towards your original 120 days nor for the extension requests.
The system would make sure that the grantee gets at least 14 days to respond once the request comes back from BPHC in an event of either approval or disapproval.
You could verify anytime before the due date that the proposed action was implemented. However you would need to provide a date of when the action was implemented and a future date is not acceptable to the system.
If the verification is required because of a "Term" on NoA then a mere notification is sent to the PO and the changes are applied to scope. When the verification is required because of a "Condition" on NoA a request goes to BPHC, the changes are applied to scope only when this request is acknowledged by BPHC
You need to submit the verification request indicating the same to BPHC. BPHC would then take appropriate action of rolling back your proposed change.
Yes, if an alternate location will be generating patient encounters instead of this site, you can add the alternate location information.
Please Note that this information is only for tracking purpose, you would have to submit a CIS to get this alternate location added to scope.
These are the sites that are registered in the Enterprise Site Repository (ESR).
No. The alternate location must be verified through a new 120 Day Verification record.
Only the Service Site additions, Service Site deletions and Service additions need to be verified. This includes deemed additions as well. The rest are exempt.
The site name or service name and other details are displayed in the 'Proposed Action' details block.
