Overview

Archive Tasks allows you, the Grantee to relocate and archive Tasks that are no longer relevant.  You can also archive Applications that are past their submission date. You or members in your organization that have access to Pending Tasks can always unarchive these archived Tasks to continue working on them.

Archiving is a quick option to clear up the Pending Tasks, 'Not Completed' queue and allows you to focus on the important Tasks.

Background

Several Grantees have Tasks in the not completed state that are no longer relevant. Depending on the Type of Task, Grantees may no longer have the privileges to work on these Tasks and these Tasks are cluttering up their ‘Not Completed’ view. Some of these Tasks are a few years old, and several Tasks are past their deadline dates.

The Archive Task feature allows you to move certain types of Tasks from the Not Completed tab to the Archived tab within Pending Tasks. The Task Status such as In-progress, due-date are preserved, and you can always unarchive the Task to revert it back to its previous state.

 

Task deliverables that are required as part of your compliance for an Award cannot be archived.  This is because you need to address these required deliverables as part of the Award and will need resolution before the project ends.

 

Steps to Archive and Un-archive Tasks 

 
1.Login to the EHBs

Click the Tasks tab at the top of the page. The 'Pending Tasks – List’ page' will open and the contents of the 'Not Completed' tab will be displayed.

 

Note: Notice that there are three tabs in the 'Pending Tasks - List' page, the 'Not Completed' the 'Recently Completed' and the 'Archived' tabs.

You can only Archive Tasks that have not been completed or submitted.

In the 'Not Completed' tab

  • Who should prepare the Action Plan:
    • HRSA Staff
    • Grantee
  • Prepared Action Plan due date, if the grantee is preparing the plan. If HRSA staff is preparing the plan, this section is not applicable.
  • Action Plan Type:
    • Corrective Action Plan
    • Performance Improvement Plan
    • Or Both
  • Click the ‘Notify Grantee’ button, once you are ready to send the Site Visit report to the Grantee.
